Terms & Conditions

How to register?

  • Click on the ‘register’ button at the top of this page.
  • Log in to your account or create one. Please note that if you register as a couple, each participant will need to create their own account.
  • Select your Upside Down Festival pass type (festival or afternoon), consider choosing a track and/or some hours for Pick ‘n’ Mix activities, and answer our questions.
  • If you register for the Upside Down Afternoon pass in combination with the Total Beginner track or Tap track, you can buy a single ticket for a party on the night of December 28th, 29th or 30th.
  • In case you register with a partner, add a partner by providing their email address. You don’t need to choose the same track as your dance partner.
  • After registration week, we hold a raffle and we process registrations according to our quota. Tuesday September 5th the latest, you’ll hear from us. If you’re in, you will be invited to pay with Visa, MasterCard, Bancontact or iDEAL within 10 days.
  • After payment, your ticket will be immediately and automatically sent to your email address.

Who can participate?

  • The Upside Down Festival’s activities are open to all bodies. Read our Code of Conduct for more information. On the venues page you can check the accessibility for our locations.
  • We brief our inspirers about working with dancers of different ages, levels and bodies, and encourage them to develop inclusive teaching methods.
  • We strongly believe that diversity is enriching for all participants, and want to make the festival as inclusive as possible. We know this is an ongoing process, so please let us know how we can do better.
  • We invite you to let us know in the registration form or by email if there is anything we can take into account regarding the inclusivity of the Festival’s activities.

How does the raffle work?

  • Instead of the ‘first come, first served’ principle, we’ll work with a registration week.
  • You have 7 days between August 28th and 31st to fill in the form, adjust your registration and if needed rethink the answer to our questions.
  • After August 31st we take some time to handle the registrations and take care of our quota.
    • leads, follows, switch dancers
    • single registrations versus couple registrations
    • people from various backgrounds
    • beginners and advanced dancers
    • local, national and international dancers
    • balance the tracks
    • encourage dancers to travel in a sustainable way, limiting the number of dancers flying in
    • we open spots for people who are community builders
    • grant people access who have supported the organisation of Upside Down in the past, or are volunteering their time in the realisation of the current edition
  • At the latest Tuesday September 5th you can expect an answer from us.
  • We apply quota and a raffle system, which means that we offer a specific number of spots to specific audiences. Most spots will be allocated right after the registration week (September 1st-5th). In case the spots for a certain audience are not filled by those who signed up in the registration week, we will announce this and open registrations again.

Do I need to register with a partner?

  • To keep the festival balanced, we welcome an equal number of leaders and followers.
  • We encourage you to register with a dance partner but single registration is also possible.
  • If you want to be sure to enter the festival with your dance partner, you better register with them. We take the ratio of single / couple registrations into account to determine how many of each type we draw from the raffle.
  • If you are a Lead & Follow, you can sign up as a Switch dancer. If you do this, we do expect you to dance 50% of the time in both roles. We believe that this is necessary to keep the quality of the festival high, and make sure that everyone is having a good time during the parties.
  • You don’t need to choose the same track as your dance partner.

When do I pay?

  • You only pay when your registration has been confirmed. You will receive an email with all of the details.
  • Payment has to be done within 10 days after you have received the payment details.

How do I register for a single ticket or weekend pass?

  • Single tickets and weekend passes for Upside Down Festival are only valid for local (Belgian) dancers. You choose either a ticket for one afternoon (December 28th, 29th or 30th Dec), one afternoon & party (December 28th, 29th or 30th Dec) , one party (December 27th), or the weekend pass (December 29th – 31st). Combining tickets is not allowed.
  • To your single ticket or weekend pass, you can add pick ‘n’ mix activities.
  • You register through the same system. Log in to your account or create one. Select a party ticket, afternoon & party ticket, afternoon ticket or weekend pass.
  • If there is a spot for you, you will receive confirmation via email.
  • After payment, your ticket will be immediately and automatically sent to your email address.
  • General festival rules also apply to the Single ticket and Weekend pass holders.

How does the sliding scale work?

  • We apply a sliding scale to the “I go Upside Down” festival pass price. We have a standard price, but invite you to adapt the price to your personal circumstances.
    • If you cannot afford the standard price, you can pick a reduced price of choice, no questions asked. We realise it is not easy to request a discount. Feel free to get in touch with us through registration@upsidedownfestival.be if you have any questions or concerns.
    • If you are capable of giving more, you are welcome to do so. It is up to you how much you donate to our social & sustainable fund. Your generosity helps dancers in a more precarious situation gain access to the festival, and you support NGOs that fight for our values. More information: visit the social & sustainable fund page.
  • The afternoon pass, single tickets and weekend pass do not have a sliding scale. You can still choose to top your payment with a donation to the social & sustainable fund.
  • Ben je inwoner van Gent, Merelbeke, Destelbergen, Melle of Lochristi en kom je in aanmerking voor verhoogde tegemoetkoming of ben je in schuldbemiddeling? Can I cancel?

  • If you haven’t paid yet, you can cancel your ticket by sending us an email. Please do this, so we can give your spot to someone else.
  • You paid for your ticket but you can’t make it after all? Please let us know and we’ll bring back your ticket in the raffle to see if there is someone who can fill your spot. As we already bear some costs, we’ll ask for a €10 administrative fee. You can resell your ticket on your own, only if we confirm to you that there are no more people in the raffle.

General festival rules

  • If we did not receive your payment within ten days, your registration may be cancelled in order to give other people a chance to participate.
  • If you received a spot because you signed up with a partner, your spot is only secured if your partner has also registered and paid. If your partner cancels the festival, you will need to find a replacement in order to keep your spot. You can either find a replacement yourself or write an email to us as we might be able to find someone from our waiting list.
  • By registering for Upside Down Festival, you agree to pictures and videos being made, shared and used on social media and for our own marketing purposes.
  • For the rare occasion of an inspirer getting sick or not being able to join we might have to substitute the inspirer in your track or we might have to change the schedule.
  • We reserve ourselves the right to change time and/or location of the evening parties, and will communicate any changes on the website and social media.
  • LouisLou vzw (Upside Down), the organizer of Upside Down Festival, reserves itself the right to refuse admittance to anyone during the festival.
  • If you disregard our code of conduct, you may be asked to leave without any refunds given.
  • LouisLou vzw (Upside Down), the organizer of Upside Down Festival, does not take any responsibility for incidents and/or injuries, nor for personal items or valuables that are lost or stolen during the event. Please look out for yourself and for others as well.
